Job Summary:

The HR Administrative Assistant is responsible for a wide range of Human Resources related duties of a highly responsible and confidential nature. This person has an extensive knowledge of company HR policies and provides direction and guidance to all employees.
This position contributes to positive employee relations through effective communication and interaction with employees.

Job Description:


  • Responds to manager and employee inquiries regarding HR processes, policies and procedures.

  • Ensures current knowledge of standard human resource processes, trends and information.

  • Works with confidential data and provides daily interpretation and counsel to employees with questions regarding benefits, payroll, staffing, training, compensation and company human resource policies.

  • Maintains HRIS including, but not limited to, salary changes, new hire entries, terminations, job postings, etc.

  • Provides general administrative support such as preparing correspondence, files, forms and reports, arranging meetings and processing confidential documents.

  • Prepares and distributes reports for management either as scheduled or on an ad hoc basis.

  • Responsible for Human Resources communication development, postings and publications.

  • Maintains the site HR intranet.

  • Administers termination processing including initial notifications and interface with managers, and creating terminated personnel files with a defined records management process.

  • Payroll responsibilities include balancing bi-weekly time entries, assigning work schedules and required reporting to ensure timely employee compensation.

  • Provide employee HR specific training when necessary.

  • Administers all employee leaves of absence.

  • Provide support in recruiting by assisting with staffing and organizational planning.

  • Assists with new hire onboarding and benefits orientation.

  • Assists management with annual performance appraisals and salary/merit administration needs.

  • Responsible for I9 administration including processing new hires, terminations, audit compliance and records retention.

  • Complies with annual corporate audits.

  • Actively participates in site safety programs.

  • Administers site reward and incentive programs.

  • Administers the company service award program and site contribution requests.

  • Assists with coordinating employee and community events.

  • Coordinates and manages HR related programs and activities, and assists with special projects as assigned.


Understands and complies with established departmental processes and procedures designed to support internal controls efforts.? Identifies and brings to the attention of department management internal controls deficiencies.


  • Relevant Bachelor?s degree or equivalent combination of education and experience.

  • Working knowledge of standard human resource concepts, practices, procedures, principles and strategies with a minimum of five years related professional experience.

  • Ability to work with confidential information.

  • Ability to adapt to a changing environment and handle multiple priorities with little supervision.

  • Excellent organization, communication, presentation and interpersonal skills.

  • Excellent writing and analytical skills with strong attention to detail and a high focus on accuracy.

  • Excellent computer skills including Microsoft Office software.

  • The ability to possess and maintain a valid Transportation Worker Identification Card (TWIC).?


This position is responsible for varied and specialized duties requiring a broad familiarity with personnel policies and procedures of the organization and general human resources practices. Assignments at this level are carried out with considerable independence.? The incumbent is required to exercise strong decision making skills and sound judgement.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
